In 2026, most multi-site operations still manage employee credentials on a spreadsheet that lives on one HR coordinator's desktop. The CPR cards renew at different times for different employees. The forklift certifications run on a two-year cycle, except for the ones that run on a three-year cycle in the state next door. The OSHA refreshers are tracked in one place. The damage shows up the day a scheduler assigns a worker to a job that requires a certification the worker no longer holds. A regulator finds it during a walk-through. Or a customer's safety auditor pulls the records plus discovers three techs onsite have expired qualifications. The company faces a fine, a remediation plan, plus a customer relationship that has to be rebuilt from a position of weakness.

Certifications fixes this by anchoring the credential to the employee record plus the role requirement at the same time. When the scheduler tries to assign a worker, the system already knows which credentials that role demands plus which of those credentials are active for that worker. An incomplete or expired credential blocks the assignment before it goes out.

Every job title, every region, plus every compliance standard can carry a list of required certifications. A welder in California needs a state-specific endorsement on top of the AWS qualification. A forklift operator in a food-handling facility carries a food safety certificate on top of the operator license. The Certifications app holds those rules at the role level. When an employee is assigned to a role, the system checks that worker's credential record against the rule set automatically.

Renewal intervals are set once per credential type. Expiration dates auto-calculate from the renewal interval plus the date of the most recent certification. Alert windows can be configured per credential, typically 30, 60, or 90 days ahead of expiry. The alert lands on the employee's dashboard, the supervisor's dashboard, plus the HR coordinator's dashboard at the same time. The renewal task can be linked directly to a training record so the next step is one click away.

Filters drive the operational view. Status filters show Active, Expired, Pending Renewal, plus Incomplete. Cross-filter by department, by site, by certification type, or by upcoming expiry window. The Operations Director who used to spend Friday afternoon updating a spreadsheet now pulls the same answer in seconds.
